Submitting your interface file and validation

The standard and manual file formats will remain the same. There will be no change to the layout or data required.

You will upload your interface file through the Secure File Upload.

When we have received your file, there will be two phases of validation checks.

 

Check 1 - Overall file format, name and structure

  • The user that has submitted the file has the appropriate permissions to do so
  • The file name matches the agreed naming convention
  • The information in the file passes logic tests (correct type of data for the respective cell).
  • If the file submitted is a standard file, it is validated against the Contral Totals (CTOT) file.

Failure during this step will result in the file being rejected (including relevant notifications).

 

Check 2 - Data validation check

  • Do the data lines pass first validation
  • Does the data pass second validation (validated against existing records), any data lines that pass, will be added to the member’s record, any data lines that fail will be added to the Error report process
  • These checks are expected to follow the current validations used by MyCSP, but there will be some changes to ensure high-quality data is maintained
  • Workshops were delivered in March and April to walkthrough the changes with employers, shared services and payroll providers. The Validation presentation covers action indicators and errors and warnings which will feature as part of the Data Validation Report.
  • Clean data lines - Lines that pass Data validation checks will be added to member records straight away
  • Data validation files classed as warnings will be added to the member record, but will also appear on the Error report and sent to the employer
  • Failed data lines - Any lines that fail the Data checks will be collated on an Error report and sent to the employer. This report will contain all errors and warnings.

 

Error report process

  • The process will give more information to employers, shared services and payroll providers so they can correct errors more easily
  • When changes are received, they will go back through Checks 1 and 2, with clean data lines being added to the record and Failed lines added to a new Error report
  • This process will continue until all errors have been corrected and data added to member records.

The Error report will be sent through the Employer Portal for you to download, review and amend and return through the Secure File Upload.
